This article explains how to view, validate, and pay expense reports submitted by your freelancers on Malt.
- Expense reports are organised by project on the project page.
- You receive a bi-monthly email summarising expenses pending validation.
- Once approved, a single invoice groups all expense reports in the batch.
Managing expense reports can be time-consuming, as it requires checking amounts, tax regulations, and budget compliance. At Malt, we simplify approval and payment of expense reports to ensure reimbursements comply with legislation.
No more scattered freelancer expense reports! For Advanced and Enterprise accounts with this feature enabled, all freelancer expense reports are organised by project. You can view them directly on your project pages.

If per-project expense reports are not yet available on your account, please contact your account manager to discuss your needs.
Where do I find expense reports to approve?
Your freelancers can submit all project-related expense reports for your verification and validation. These expenses will be grouped into a batch for simplified management.
To make this easier, you will receive a bi-monthly email summarising expense reports pending verification. This email lists each project with the total expense amount for a quick overview.
Where to view these expenses? On your project page, an action card will appear as soon as an expense awaits your approval. Clicking this card takes you directly to the corresponding expense report to review and act.
How do I validate expense reports?
Click "View expense reports" on your project's action card to see all expense reports pending validation. You will see the details: amount, date, and supporting documents for each expense.

You can approve all expense reports at once if everything is compliant. Then verify billing information and any purchase order. Confirming the report will generate a single invoice with all approved expense reports and attached supporting documents, making payment in one operation easier.
